General Rules

  1. Respects to other users are highly appreciated, such as:
    • Keeping to a minimum volume of voices while talking or taking part in a group discussion
    • Sleeping, smoking, using cell phones, radio, joking, playing online games outside the library.
    • Proper use of the library furniture.
    • Proper attired at all times in the library.
  2. Keeping the library and the collection clean and in good condition by:
    • Eating and drinking outside the library.
    • Putting trash on the trash cans.
    • Proper handling of walls, furniture and library materials (no marking, ripping off, breaking) etc.
  3. Keeping the library in good order by:
    • Using the library mainly for academic and research purposes.
    • Putting the books on the trolley provided after reading or removing from the Shelves.
    • Leaving the furniture in its original place.
  4. Not leaving belongings overnight in the library. The library shall not take any responsibility for loss of personal property or books already issued out.
  5. Report to the library immediately if you find other’s belongings or if you lose your belongings.
  6. The library staff has the privilege to ask students to leave the library if they are behaving inappropriately or causing disturbance to other users.
  7. The library has the privilege to give any kind of discipline acts to any user who disregards the library rules and regulations.
Library Users

Who is Library user?

The following people reserve the right to be the members of the library.
Members are entitled to use all library services.

  • All registered students of the University,
  • Active Faculty and administrative staffs in the University,
  • Known members of the community and those with a genuine need,
    have limited access to the library with a special permission from the head of the library.

** Others may read the library materials and use the reading room in the library.

Borrowing Book
Procedures

  1. A user must be a registered student or active faculty and administrative staff in the current term to be able to use the library services.
  2. All users must present their ID Card before borrowing any library materials.
  3. Library materials may not be removed from the library unless the library staff has properly issued them out.
  4. All borrowed materials must be returned on or before the due date.
  5. Students or staff are not allowed to borrow library materials on behalf of others or transfer borrowed materials to others.
  6. Students with overdue materials and overdue fines will not be allowed to borrow books.
Borrowing Procedure

Library Clearance

  1. All students are required to upload their final reports to the President University Information System (PUIS). The submitted reports will subsequently be reviewed and validated by the library staff based on the following criteria:

    I. COVER – Name the file Cover_(StudentID).pdf (e.g., Cover_014201700175.pdf). The cover page must include the following:

    • Title Page
    • Panel of Examiner Approval (with original signatures of all examiners)
    • Statement of Originality (original signature and duty stamped)
    • Scientific Publication Approval for Academic Interest (original signature)
    • Advisor's Approval for Publication (underline the applicable publication option with advisor's original signature)
    • Turnitin Report and AI Turnitin Report (showing total similarity percentage and AI-based plagiarism detection)
    • Abstract
    • Acknowledgment Page
    • Table of Contents
    • List of Tables (if any)
    • List of Figures/Diagrams (if any)
    • The required templates for the Title Page, Panel of Examiner Approval, Statement of Originality, Scientific Publication Approval for Academic Interest, and Advisor's Approval for Publication are available at bit.ly/LibraryClearance

    II. CHAPTER – The file must be named Chapter_(StudentID).pdf (e.g., Chapter_014201700175.pdf).

    III. REFERENCE – The file must be named References(StudentID).pdf_ (e.g., References_014201700175.pdf).

    IV. APPROVAL SHEET – The file must be named Approval(StudentID).pdf_ (e.g., Approval_014201700175.pdf).

  2. Students must return all borrowed library materials and settle any outstanding fines, if applicable.
  3. Students are required to SUBMIT THE SHEET OF THE PANEL OF EXAMINER APPROVAL WITH ORIGINAL SIGNATURES to the library in order to receive validation in the PUIS system.

Notes:

A. Any student who intends to participate in the graduation ceremony must first complete all Library Clearance requirements as stated in the regulations.

B. Failure to comply with the Library Clearance requirements, as stipulated in this Rector's Regulation, will result in the loss of the right to participate in the graduation ceremony.

Library Clearance

In order to obtain the Library Clearance for thesis submission, students who have completed thesis must follow the required procedures and steps as below:

  • Submission of thesis soft file to PUIS in .pdf format, and must comply with the following thesis structure, layout, and requirement:
    1. File Cover_student ID number.pdf (e.g. Cover_014201700175.pdf)
      • a. Cover & Title Sheet
      • b. Approval Sheet (fully signed)
      • c. Originality Sheet (signed)
      • d. Publication Handover Sheet (signed)
      • e. Advisor Approval Sheet for publication in the journal/repository/ proceeding/ unpublished (Choose one and advisor signed)
      • f. The results of the Turnitin similarity check (Page total similarities only)
      • g. The results of the anti-plagiarism base on Artificial Intelligence through software like GPTZero (https://gptzero.me)
      • h. Abstract
      • i. Acknowledge Page
      • j. Table of Contents
      • k. List of Tables (optional)
      • l. List of Pictures/Diagrams (optional)

  • File Chapter1–Last Chapter_student ID number.pdf, maximal 3Mb (e.g. Chapter1-5_014201700175.pdf)
  • File References_student ID number.pdf (e.g. References_014201700175.pdf)
  • Panel Examiner Approval Sheet. Name it Approval Student ID Number (e.g. Approval_014201700175.pdf).
    THE SIGNATURE SHOULD BE ORIGINAL, GIVE THE PAPER TO THE ADMIN STUDY PROGRAM TO GET VALIDATION.

No reference liability. Student has returned the borrowed book and paid the late return fund.

Students who fail to comply with the Library Clearance requirements as per the Rector’s Regulation cannot proceed with Judicium registration.
